For karate clubs and other martial arts schools

Take attendance on the mat. KarateTrack knows who’s ready to grade.

Students, attendance, belts and fees, in an app that works on your phone. Students and parents get their own account, where they can see their attendance, how close they are to the next belt and what they owe.

The coach’s dashboard: students active in the app, attendance today, students ready for a grading, overdue payments, a 30-day attendance chart, absent students and upcoming birthdays.
Taking attendance on a phone: students grouped by belt, with a tick next to everyone at the 19:00 class.

From the first class to black belt

KarateTrack started in a karate club and keeps growing from what the coaches who use it every week ask for.

Student accounts

Students and parents can check their own progress

Every student gets an invite link and creates an account. They can see which classes they attended, how many more they need for the next belt and what they have to pay. You get fewer messages asking “when is my grading?”.

  • Add it to the home screen and it opens like an app
  • Study materials are shown by belt
  • Each student only sees their own data
A student’s account: classes since the last promotion, total classes, progress towards the next belt and an attendance calendar.

Gradings

The grading list builds itself

For each belt you set how many classes and how much time are required. KarateTrack counts attendance since the last promotion and puts the students who are ready at the top. After the grading you promote them all at once, and the new belt shows up in their account straight away.

  • You set the belts, colours and thresholds
  • Full belt history for every student
  • Excel export of the grading list
The grading page: students ready for their grading, with attendance and time-in-grade progress for each.

Payments

Know who has paid, without the notebook

Record cash and bank transfer payments and see on the dashboard who is behind. For camps, seminars or kit you create a payment and assign it to the students taking part. Each student sees exactly what they owe in their account.

  • Online card payments through Netopia, for clubs in Romania
  • The money goes straight to the club’s bank account
  • A separate record of what the club spends on its athletes and what it receives from sponsors
Payments in a student’s account: this month’s fee, the grading fee and a training camp, each with a Pay online button.

Athlete of the year

A yearly ranking without spreadsheets

Add the year’s competitions, camps and seminars, then each student’s results. Points follow your club’s scoring rules, with multipliers for placing, field size and open categories. Students see the ranking in their account.

  • Base points for each event type are editable
  • Extra points for the most regular attendees

Getting started

You don’t have to move anything yourself.

  1. 1

    Get in touch

Tell us your club’s name, how many students you have and what you use to keep track today. We set up a short call to show you the app.

  2. 2

    We move your data

We import your students, belts and, where you have it, attendance history from a spreadsheet or from the app you use now.

  3. 3

    Send the invites

Your club gets its own address. Students sign up from the link you send by email or WhatsApp, and you take attendance at the next class.

Questions

Does it work for other martial arts?

Yes, as long as your club grades with belts. You can change the belt names, colours and the number of classes each belt requires from inside the app.

Do we need to install anything?

No. KarateTrack runs in the browser on a phone, tablet or computer. On a phone you can add it to the home screen, and it opens like any other app.

Who can see student data?

Your club’s coaches see everything. Students and parents only see their own data. Each club has its own database, kept apart from every other club.

Can we take payments online?

Clubs in Romania can take card payments through Netopia, with the money going straight to the club’s account. Outside Romania, online payments aren’t available yet, so you record cash and bank transfers in the app.

Who counts as an active student?

Students marked active in the app. When someone leaves you set them to inactive: they no longer count towards the price, and their history stays.

How do we pay for the subscription?

By invoice, monthly or yearly, paid by bank transfer. If you pay for a full year, you get 2 months free.

We already have history in another app. Do we lose it?

No, we import it when you start. The first club to move to KarateTrack brought over more than 20,000 attendance records and its full belt history from the app it used before.

Want to see the app?

Send us a few lines about your club: how many students you have and what you use to keep track today. We’ll suggest a day and time for a demo.
